ECHO ONBOARDING OVERVIEW

buddy boss, learndash, and automator plugin

Our ECHO Onboarding process utilizes three plugins: BuddyBoss, LearnDash, and Automator.

We have a Private Onboarding Process and a Public Onboarding Process.

  • Private Onboarding: These are private programs who invoiced Mockingbird services.
  • Public Onboarding: These are individuals who purchased Mockingbird services on the website.
    • NOTE: Current process documentation must be updated when WooCommerce/Paypal is set up on the website for the Public Onboarding option.

Buddyboss  Summary:

  • Buddyboss is a social network plugin that adds a community aspect to e-Learning.
  • We use Buddyboss so that our members can easily connect with us and other educators. Our goal with BuddyBoss is to give our educators a sense of community.
  • The main Dashboard is a good example of what Buddyboss does. It creates a social network “feed,” which includes community posts, updates, current/recently active members, recently active/popular groups, etc.
  • We also use Boddyboss for automatic creation of user profiles. This is the “My Profile” tab on the left sidebar menu.
  • Current BuddyBoss Groups are listed on the right drop-down menu. There is a BuddyBoss group for each program. In addition, there are nine optional BuddyBoss groups that a member may be a part of. For example, Members with an Instructional Membership will be in their Program Group and in the Mockingbird Methodology Group. Ask Tamara for assistance on which optional groups to add.
    • Each BuddyBoss Group can be tagged with oneGroup Type.” Currently, we have six BuddyBoss Group Types. Ask Tamara for assistance on which BuddyBoss Group Type to add to the BuddyBoss Group. These are used for organization and data tracking purposes. View the BuddyBoss Group Types on the right drop-down menu.
  • NOTE: Program Buddyboss groups are linked to LearnDash groups. In other words, user management (e.g., adding or removing members) changes in the Buddyboss group will also be reflected in the Learndash group. In addition, this means that when a Program Organizer is added to a BuddyBoss, they are also added as a Group Leader in their corresponding LearnDash Group.

LearnDash Summary:

  • LearnDash is a Learning Management System plugin.
  • We use LearnDash for course management, which includes creating courses, lessons, sprints, quizzes, exams, etc.
  • Program Groups (Private Onboarding) are manually added to any purchased course (e.g., RTL, IAR, etc.).
  • Individuals may purchase LearnDash courses on the website (Public Onboarding Process) and then they are automatically added to their correct LearnDash/BuddyBoss group via the Automator Plugin.
  • All Mockingbird curriculum is listed as a “Course” in LearnDash. Our courses available for purchase must have a “Private” and a “Public” version.
    • The private version of the course is manually added to a Program Group after Mockingbird receives their purchase invoice. The private version is “free” because the program already paid.
    • The public version of the course is available for purchase to anyone on the web. The public version costs money and must be purchased online.
  • Current LearnDash Groups are listed on the right drop-down menu. Each LearnDash Group can be tagged with as many “Group Tags” as needed. Currently, we have eight LearnDash Group Tags. Ask Tamara for assistance on which LearnDash Group Tags to add to the LearnDash Group. These tags are used for organization and data tracking purposes. View the LearnDash Group Tags on the right drop-down menu.
 

Automator Summary:

  • Automator is an automation plugin that connects our plugins and external apps. All Automator integrations are listed here.
  • Currently, we use Automator to connect WordPress, BuddyBoss, LearnDash, and Mailchimp.
  • More specifically, we use Automator for:
    • Sending the Welcome to ECHO Email to New Users.
    • Sending the Director Dashboard Email to Program Admins.
    • Program specific automations. For example, automatically adding a user to their optional groups, enrolling users into courses, setting user profile types, and adding a tag to the user in Mailchimp.

2. Search for the Program Group you just created.
3. Hover over the Program Group and Select -> Edit.

4. MB Staff updates Group Picture for Program LearnDash & BuddyBoss Group Updating the LearnDash Group Photo:
1. Wp-Admin Dashboard -> LearnDash LMS -> Groups
2. Search for the Program Group you just created
3. Hover over the Program Group and Select -> Edit
4. Branding Logo: Upload image

Updating the BuddyBoss Group Photo:
1. Wp-Admin Dashboard -> LearnDash LMS -> Groups
2. Search for the Program Group you just created
3. Hover over the Program Group and Select -> Edit
4. Next to the Permalink, select "Visit Group"
5. Hover over the Group Photo
6. Select "Change Group Photo and Upload image
5. MB Staff Adds Group Tag and Group Category (Program Classes) to LearnDash Group 1. Wp-Admin Dashboard -> LearnDash LMS -> Groups
2. Search for the Program Group you just created
3. Hover over the Program Group and Select -> Edit
4. On the right-hand edit menu, Select relevant "Group Categories"
5. On the right-hand edit menu, type in relevant "Group Tag" located
6. MB Staff Adds All Discovery Workshops and Webinar Courses to LearnDash Group 1. Wp-Admin Dashboard -> LearnDash LMS -> Groups
2. Search for the Program Group you just created
3. Hover over the Program Group and Select -> Edit
4. Select the tab at the top titled "Courses." 5. Add all Discovery Workshops, Webinar Courses, and other relevant Courses underneath "Group Courses". Use the arrow buttons to assign the Group Courses.
7. MB Staff creates Group Code for corresponding Program LearnDash Group 1. Wp-Admin Dashboard -> LearnDash LMS -> Group Code
2. Select "Add New"
3. The Group Code is the name of the Program.
4. Group Code Details:
- From Date: Today's Date
- To Date: 2 years from Today's date
- Group: Select Program Group from drop-down menu
- Number of Enrollments: 200
5. Publish Group Code
8. MB Staff Creates Automator Recipe specific to the newly created BuddyBoss and LearnDash Group 1. Wp-Admin Dashboard -> Automator -> Add New
2. Create automation recipe. Ask Tamara for assistance on which other BuddyBoss groups should be added, what Curriculum Courses the users should be enrolled in (if any), and what the User Profile Type should be. The Mailchimp tag will be the same as the User Profile.
9. MB Staff Updates MB Staff to be a Program Organizer in BuddyBoss Group 1. Wp-Admin Dashboard -> BuddyBoss -> Groups
2. Search for the Program Group you just created
3. Hover over the Program Group and Select -> Edit
4. Update Tamara's role to Organizer under the Manage Members tab. Add additional MB Staff as an Organizer as needed.
10. MB Staff Adds MB Staff and Program Admin to their corresponding BuddyBoss Group If the User Already Exists
1. Type the Users name in under Add New Members tab.
2. Select the User you want to add from the drop-down menu.
3. Save Changes

If the User Does Not Already Exist
1. Open an Incognito Tab. This is so that you appear signed out on the website.
2. Navigate to Self-Registration.
3. Complete the registration form for the Program Admin.
4. Make sure to enter the Group Code so that the Program Admin is added to their correct group.

To check if a user already exists, navigate to Wp-Admin -> Users -> All Users. Search for the user.
11. MB Staff Updates Program Admin to be a Program Moderator in BuddyBoss Group 1. Wp-Admin Dashboard -> BuddyBoss -> Groups
2. Update the Program Admin's roles to Moderator under the Manage Members tab.

The Program Admin will automatically be added as a Group Leader in their respective LearnDash Group after being added as a Moderator in their BuddyBoss Group.

GUEST ONBOARDING

STEP-BY-STEP INSTRUCTIONS

Follow the steps exactly as listed below.

  • To register a guest user, navigate to the self-registration page: https://mockingbirdmethodology.com/login/self-registration/
    • NOTE: You will need to log out or open an Incognito browser for the registration form to appear.
  • Enter the user’s information. Enter the Group Code GUEST to ensure the user is added to their correct groups. An Automator recipe is already created for Guest users.
